Terms & conditions

These Terms & Conditions (“Terms”) apply to all services provided by Hike Train Move (“we”, “us”, “our”), including hiking retreats, workshops, community events, personal training, and use of our website.

By booking with us, joining an event, or using our website, you agree to these Terms.
Please read them carefully before making a booking.

1. About Us

Hike Train Move is a UK-based organisation offering hiking retreats, community hikes, workshops, and training services.

2. Services We Provide

We offer:

  • UK & international hiking retreats

  • Training workshops

  • Free community hikes

  • Personal training services

  • Online content and resources

Full details of each event or service will be provided at the time of booking.

3. Booking & Payment

Retreats

A deposit is required to secure your place. The remaining balance is due by the date specified in your booking confirmation.

Your place is not guaranteed until payment has been received.

Workshops

Payment must be made in full at the time of booking.

Personal Training

All PT sessions or online coaching plans must be paid for in advance, unless otherwise agreed.

Community Hikes

These events are free, but you may be required to register your attendance.

4. Cancellations & Refunds

4.1 Retreats

  • Deposits are non-refundable, unless we cancel the event.

  • If you cancel:

    • More than 60 days before the retreat: refund of any amount paid excluding deposit.

    • 30–60 days: 50% refund of the balance.

    • Less than 30 days: no refund available.

  • You may transfer your place to another person with our approval.

Travel insurance is strongly recommended.

4.2 Workshops

  • Cancellations more than 14 days before the workshop: 50% refund.

  • Less than 14 days: non-refundable.

  • You may transfer your place if you cannot attend.

4.3 Personal Training

Cancellation policies will be outlined in your individual coaching agreement.

4.4 Events Cancelled by Us

If we must cancel an event for any reason:

  • You will receive a full refund, or

  • You may transfer the amount to a future date.

We are not responsible for additional costs (travel, accommodation).

5. Participant Responsibilities

By booking or attending an event, you confirm that:

  • You are physically able to take part in planned activities

  • You will inform us of any relevant medical conditions

  • You will follow the guidance of Hike Train Move staff and event leaders

  • You understand that outdoor activities involve inherent risks

  • You will act respectfully towards other participants, staff, and the environment

We reserve the right to remove any participant who behaves in a way that risks safety or disrupts the experience for others.

6. Safety & Assumption of Risk

Outdoor activities such as hiking and mountain travel carry natural risks, including injury, weather changes, terrain hazards, and unforeseen events.

By joining any Hike Train Move event, you accept these risks and agree that participation is voluntary.

We take care to plan routes, assess risks, and provide a safe environment, but we cannot eliminate all risk associated with outdoor adventure.

7. Photography & Content Use

We often take photos and videos during retreats, workshops, and community events.

By attending, you consent to being photographed unless you opt out in advance.

We may use images for:

  • Marketing

  • Social media

  • Website content

  • Future promotional materials

If you prefer not to appear in photos or videos, please tell us before or at the start of the event.

8. Travel, Accommodation & Third Parties

For retreats:

  • Travel to the destination is your responsibility

  • We are not liable for travel delays, missed connections, or third-party disruptions

  • Accommodation details will be provided in your booking confirmation

We may use third-party providers (e.g., transport, accommodation, guides). We are not responsible for their actions, delays, or failures.

9. Medical Conditions & Emergencies

You must disclose any health conditions that may affect your participation.

In case of an emergency, you authorise us to seek medical assistance on your behalf.
All associated costs are your responsibility unless otherwise stated.

10. Liability

To the fullest extent permitted by law:

  • We are not liable for injury, loss, or damage arising from participation in any activity, unless caused by our negligence

  • We are not liable for loss of personal belongings

  • We are not liable for delays, cancellations, or events outside our control (weather, travel issues, strikes, natural events)

Nothing in these Terms excludes liability for death or personal injury caused by our negligence.

11. Website Use

By using our website, you agree to:

  • Not misuse or attempt to disrupt the website

  • Not copy or redistribute content without permission

  • Use the website for lawful purposes only

We may update content, policies, or features at any time.

12. Data Protection
